Whether it's called an Emergency Plan or a Business Continuation Plan it probably covers employee safety and lists steps to preserve important data and protect mission critical operations. The problem is, only something like 37% of small businesses actually have a workable plan. And we know from experience that as many as half of small businesses without a plan don't survive a major catastrophe. There are a number of reasons. My name is Joe Krueger. Virginia Nicols and I sponsor the Emergency Plan Guide website that helps people improve the odds for survival. Today we're dealing with one of the most neglected areas of the small business plans we've seen. . . . and that is the need for employees to get information on their home and family safety. Not knowing how family members have fared will be a major concern and distraction at a critical point in the company's survival. If your company doesn't have a Family Communications Plan, stick around for another two minutes and get ideas about how to set one up. It's natural that everyone's first concern is going to be the well-being of their loved ones. What's happening at the business will be secondary! People will first try to get in touch with family via phone. In a widespread disaster, phones may be overloaded or out altogether. If people can't get through, they are likely to leave work and try to get home . . .even if roads are flooded, bridges are down or streets are blocked with traffic. Abandoning the workplace can seriously jeopardize the facilities and company assets and put employee lives in danger. A good plan can prevent this from happening. The first step is to provide a means of reporting on damages -- near the workplace and in areas where different employees live. A simple battery-operated emergency radio like this one can monitor weather and emergency radio broadcasts. It costs less than $50, and works even when power is out because it's rechargeable using special batteries, a hand-crank or solar. Our recommendation: set up an Emergency Communications Center (or two) supplied with radios and instructions for how to use them. If you have interested employees, you may want to invest in a more sophisticated HAM radio system. With this equipment, trained employees can monitor police and other first responder communications. In either case, your Emergency Communications Center can share important, official news and updates. The Emergency Communications Center can also serve as a contact point for communications between employees and their homes or out-of area contacts. You probably have heard that long-distant phone communications are often working even when local circuits are overloaded or out of service altogether. Obviously, all contact information must be in place BEFORE the emergency hits. And, a back-up must be available on paper - because computers may not be functioning. One of the reasons businesses choose not to become more actively involved in planning for increased preparedness is that they feel prior events are not likely to recur or that the effects if they were to occur would not be overly severe. Interestingly, while the Asia-Pacific Economic Cooperation (APEC) region accounts for 40 percent of the world's population and half of global gross domestic product, the area sustains almost 70 percent of the world's natural disasters. A 2011 survey among APEC member economies found that only 15.9 percent of small and medium-sized enterprises and 52 percent of large company respondents have a business continuity plan.
