What is Contingency Plan?
Welcome to the Investors Trading Academy talking glossary of financial terms and events. Our word of the day is “Contingency” A liability that exists because of a circumstance (such as a lawsuit) that may cause a business loss in the future depending on other events that have yet to happen (such as the outcome of a trial) and indeed may never happen. Contingency is a potential negative economic event which may occur in the future. In finance, managers often attempt to identify and plan for any contingencies that they feel may occur with any significant likelihood. To mitigate risk, financial managers often err on the conservative side, assuming slightly worse-than-expected outcomes, and arranging a company's affairs so that it can weather negative outcomes with the least distress possible. To plan for contingencies, financial managers often recommend setting aside significant reserves of cash so that the company has strong liquidity, even if it meets with a period of poor sales or unexpected expenses. Managers may also seek to proactively open credit lines while a company is in a strong financial position to ensure access to borrowing in less favorable times. Contingency approach, also known as situational approach, is a concept in management stating that there is no one universally applicable set of management principles (rules) to manage organizations. Organizations are individually different, face different situations (contingency variables), and require different ways of managing. Contingency approaches remain less common than change management approaches. Contingency approach evolved during the 1960s. Management theory and research began to adopt a new orientation, one that embodied a simple concept and enabled significant advancements in the study of management and organizations, now referred to as the contingency approach. It emphasized the importance of situational influences on the management of organizations and questioned the existence of a single, best way to manage or organize. Today, the contingency approach dominates theory and research in the management literature. Contingency approach challenged the classic process and models designed by management theorists such as Frederick Winslow Taylor (Scientific management) and Henri Fayol (Fayolism). Various researchers concentrated on different contextual factors. Joan Woodward (1958) studied the production technology, Blau and Schoenherr (1971) the size of the organizations, Burns and Stalker (1961) as well as Lawrence and Lorsch (1967) into the economic environment, in particular market competition and technological change. A broader approach was developed by a British team of researchers at the University of Aston, widely known as Aston Group by developing a conceptual scheme for the comparative analysis of organizational structure which took account of several contextual factors at the same time (Pugh, Hickson, et al., 1963). A conceptual model of the contingency approach was developed by Kieser and Kubicek. According to the model, the formal structure of an organization defines the roles of its members in a specific way and thereby directs their behavior to a certain degree. The performance of the organization depends on the degree to which these role definitions enable members to cope with the requirements resulting from the context of the organization.

This is the first of two webinars presented at the 11 November 2014 monthly meeting of the Connecticut Chapter of the Association of Contingency Planners held at the headquarters of Northeast Utilities in Berlin, CT and emceed by Corporate ACP's Education Committee Chair Dr. Edward Goldberg. This presentation was made by Cynthia Simeone and Steve Crimando. Cynthia is an expert in business continuity planning and Steve is a behavioral scientist and they’ll outline key psychological and behavioral considerations across the four phases of emergency management (mitigation, preparedness, response and recovery). Cynthia introduces a BCP challenge for each phase, and Steve introduces research and case studies/examples to help the BC Planner make accurate behavioral assumptions specific to that phase and the unique challenge, then they together suggest or offer ways to apply that information in a practical manner in policy, planning, procedures and/or exercises. Scenario planning, also called scenario thinking or scenario analysis, is a strategic planning method that some organizations use to make flexible long-term plans. It is in large part an adaptation and generalization of classic methods used by military intelligence. The original method was that a group of analysts would generate simulation games for policy makers. The games combine known facts about the future, such as demographics, geography, military, political, industrial information, and mineral reserves, with key driving forces identified by considering social, technical, economic, environmental, and political (STEEP) trends. In applications, the emphasis on gaming the behavior of opponents was reduced (shifting more toward a game against nature). At Royal Dutch/Shell for example, scenario planning was viewed as changing mindsets about the exogenous part of the world, prior to formulating specific strategies. Scenario planning may involve aspects of systems thinking, specifically the recognition that many factors may combine in complex ways to create sometime surprising futures (due to non-linear feedback loops). The method also allows the inclusion of factors that are difficult to formalize, such as novel insights about the future, deep shifts in values, unprecedented regulations or inventions. Systems thinking used in conjunction with scenario planning leads to plausible scenario story lines because the causal relationship between factors can be demonstrated. In these cases when scenario planning is integrated with a systems thinking approach to scenario development, it is sometimes referred to as dynamic scenarios.
